DatBill Privacy Policy

This Privacy Policy explains how Alhassi for Information Technology LLC(“DatBill”, “we”, “us”) collects, uses, stores, and discloses information in connection with the DatBill accounting and business-management platform, including our website at datbill.com, the web application at app.datbill.com, and related integrations with WhatsApp Business, e-commerce stores, and payment providers (collectively, the “Service”). By using the Service, you agree to the practices described below.
1. Data Controller
The data controller for personal information processed through the Service is Alhassi for Information Technology LLC, a company licensed in the United Arab Emirates, operating under the DatBill and DatCart trade names. 2. Information We Collect
We collect the following categories of data:
- Account data: name, email, phone number, company name, trade licence details, role, and authentication credentials.
- Business and financial data: customers, suppliers, products, invoices, bills, payments, inventory, payroll, bank transactions, chart of accounts, and other records you enter or import.
- WhatsApp data: when you connect a WhatsApp Business number to DatBill, we process phone numbers, display names, message content (text, media, documents, audio), message identifiers, delivery and read receipts, and interaction timestamps that flow through the WhatsApp Business Platform (provided by Meta).
- Payment data: billing contact, subscription status, and transaction metadata. Full card details are handled by our payment processors and never stored on DatBill servers.
- Technical data: IP address, device and browser type, operating system, approximate location derived from IP, pages visited, actions taken, timestamps, and diagnostic logs.
- Cookies and similar technologies: session cookies for authentication, preference cookies for language (Arabic / English) and theme, and limited first-party analytics.
3. How We Collect Data
We collect information (a) directly from you when you sign up, configure the Service, or contact support; (b) automatically when you use the Service; (c) from third-party providers that you choose to connect — including WhatsApp Business (Meta Platforms Ireland Limited), WooCommerce stores, and payment gateways such as Paymob and N-Genius; and (d) from banking aggregators where you enable bank-feed integrations.
4. How and Why We Use Data
We use your information to:
- Provide, operate, and maintain the Service and its accounting, POS, inventory, payroll, and messaging features.
- Authenticate users, secure accounts, detect fraud, and enforce our Terms of Service.
- Process subscription payments and issue tax invoices.
- Send and receive WhatsApp messages on your behalf through numbers you have authorised, including marketing campaigns, transactional messages, and AI-assisted replies you initiate.
- Provide optional AI features (such as automated bookkeeping suggestions, document extraction, and chat assistants) using processors described in Section 7.
- Communicate with you about service updates, security alerts, billing, and support.
- Comply with UAE tax, commercial, and anti-money-laundering laws, and respond to lawful requests from authorities.
Our lawful bases for processing are: performance of our contract with you, your explicit consent (for optional features such as WhatsApp marketing and AI), our legitimate interests in operating and securing the Service, and compliance with legal obligations.
5. WhatsApp Business Data
DatBill integrates with the WhatsApp Business Platform operated by Meta. When you or a customer sends a message to a number you have connected to DatBill, the message is delivered to us through Meta's servers and stored within your DatBill workspace so you can view the conversation, build automations, run campaigns, and meet record-keeping obligations. We process WhatsApp data only for the purposes you configure, do not use it to train public AI models, and do not sell it. Your end-customers may exercise their rights directly through WhatsApp (for example by blocking the number) or by asking you, as the business owner, to delete their records; you may in turn contact us as described in Section 10.
6. Data Sharing and Disclosure
We do not sell personal data. We share data only as follows:
- Service providers acting as processors on our instructions: cloud hosting (Vercel Inc., Supabase Inc.), email delivery, file storage, customer support tooling, and analytics.
- Messaging platforms: WhatsApp / Meta (for WhatsApp Business messaging) and Telegram (if you enable Telegram notifications).
- AI processors: Anthropic PBC, OpenAI OpCo LLC, and similar providers, used only when you invoke AI features. API calls are made without retention for training.
- Payment processors: Paymob, N-Genius, and banks, to charge subscriptions and reconcile receipts.
- Professional advisors and authorities: where disclosure is required by law, court order, or to protect rights, property, and safety.
- Business transfers: if DatBill is involved in a merger, acquisition, or sale of assets, data may be transferred subject to this Policy.
7. International Transfers
The Service is operated from the United Arab Emirates. Some of our processors are located outside the UAE, including in the European Union and the United States. When data is transferred internationally, we rely on the processor's contractual commitments, standard data-protection clauses where applicable, and the UAE Personal Data Protection Law provisions on cross-border transfers.
8. Data Storage and Security
Data is stored on secure cloud infrastructure with encryption in transit (TLS) and at rest. We enforce tenant isolation via row-level security so each company can access only its own records. Access to production systems is restricted to authorised personnel, logged, and subject to multi-factor authentication. We maintain audit logs of significant actions within the Service. No system is perfectly secure; in the event of a breach affecting your personal data we will notify you and, where required, the competent authority without undue delay.
9. Data Retention
We retain account and business data for as long as your subscription is active. Accounting records (invoices, bills, journal entries, tax reports) are retained for a minimum of five years after creation to comply with UAE Federal Tax Authority requirements, even after account closure. WhatsApp message history is retained while the connected number remains active and for a reasonable archival period thereafter. Technical logs are retained for up to 12 months. After the applicable period, data is deleted or anonymised.
10. Your Rights and Data Deletion
Subject to applicable law, you may request to access, correct, export, restrict, or delete your personal data, withdraw consent, or object to processing. To exercise any of these rights, or to request deletion of data associated with your DatBill account or a connected WhatsApp number, email support@datbill.com from the address on file with a clear description of your request. We will respond within 30 days. Legally required records (such as tax-related accounting documents) may be retained beyond deletion for the minimum period mandated by law.
11. Children's Privacy
DatBill is a business tool and is not directed to children. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal data, contact support@datbill.com and we will delete it.
12. Cookies
We use strictly necessary cookies for authentication and security, preference cookies for language and theme, and limited analytics cookies to understand aggregate usage. You can control cookies through your browser settings; disabling essential cookies will prevent the Service from functioning correctly.
13. Third-Party Links
The Service may contain links to third-party websites or embed third-party content. We are not responsible for the privacy practices of those third parties and encourage you to review their policies.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or through an in-app notification, and the “Last updated” date above will be revised. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
15. Governing Law
This Policy and any disputes relating to your personal data are governed by the laws of the United Arab Emirates, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, without regard to conflict-of-laws principles.
